Job Description

Office Administrator

Administrative Duties - 60%

  • Purchase Orders
  • Processing of purchase orders and expense reports (company credit card, lease payment, gas card, utility bills, rent invoices, office supplies, newspapers, etc.)
  • Company Vehicles and HMA Lease Program
  • Check company vehicle conditions and analyze vehicle GPS data
  • Prep and processing of HMA lease vehicle requests for employees
  • Employee assistance with programs
  • Process lease maintenance reimbursement requests
  • Travel
  • Coordinate and make reservations for employee business trips including flights, lodging and rental vehicles via online travel sites and any contracted travel agents as well as monitoring for best efficiency and rates
  • Supply Management
  • Manage/maintain office supplies, kitchen supplies and file storage
  • Maintain Petty Cash

Maintain Order and Cleanliness of Office

  • Lighting, break room, mail room, file storage, etc.

Employee Benefit - 20%

  • Company Events
  • Preparation of yearly events including company picnic, Korean new year/Thanksgiving, holiday party, and smaller events (Fourth of July, Mexican Independence, etc.)
  • Purchase/preparation of employee refreshments on weekly basis
  • Manage and distribute employee birthday/milestone (baby, work anniversary) gifts

Other Duties

  • Perform other duties/tasks as assigned/requested
  • Reception duties as/if needed


  • Bachelor’s Degree or equivalent
  • Ability to work overtime as needed
  • Knowledge and use of MS Office
