Vendor Relations Specialist

 

Are you looking to join a growing company in the popular area of North Dallas?  Our client in The Colony is looking to make an addition to a new department!  Our client is an environmental company who acts as a liaison between larger organizations with waste management initiatives and the vendors who can provide solutions.  Their Vendor Relations team is new and they are anticipating an exciting future!
 

This role will partner with vendors and other internal teams (Sales, Client Services, Accounting, etc.) in order to ensure that their vendor database is accurate and up to date.  This employee will assist with bids by obtaining vendor data, complete all vendor require paperwork such as Exhibit A files, and interface directly with internal and external teams.  
 

ROLE DESCRIPTION

  • Prepare the consolidated Schedule A during mass awards/cancellations
  • Prepare vendor individual and mass vendor awards and cancellations
  • Track and manage vendor responses in database
  • Communicate with other departments regarding vendor updates
  • Create, maintain, and manage the vendor database including all vendor paperwork that must accompany each vendor profile
  • Research vendor networks for vendor diversification and expansion
  • Document/create current processes when needed
  • Maintain detailed and organized files
  • Work closely with other departments and vendors daily
  • Other miscellaneous projects and duties as assigned
  • Check faxes on the server daily
  • Research billing issues
  • Contact vendors regarding service interruptions
  • Conduct internet research on services and vendor needs
  • Work with Client Services on vendor issues
  • Assist with bids by calling vendors to obtain rates
  • Assist in vendor invoice collection for premier customers
  • Other projects/duties as required by the business
  • Setting up new vendors including making sure all paperwork is compiled and correct
  • Assist with finding vendors for the Company’s lines of business and perform back up to Client Services Manager as needed.
  • Track vendor certificates of insurance (COI) and schedule A exhibits via Excel that are received
  • Set up all new vendors in the Company’s systems

ROLE COMPETENCIES
 

  • Bachelor’s Degree strongly preferred
  • 1-3 years of directly related experience in vendor relations/negotiation preferred
  • Excellent interpersonal, leadership, negotiation and written and verbal communication skills
  • Analyze potential and actual problems and develop optimal solutions
  • Proficient knowledge of MS Office business applications Mastered skills with Microsoft Office Skills (Word and Outlook)
  • Proficient working knowledge of Excel including but limited to performing VLookups, sorting, filtering, and formula creation
  • Ability to handle multiple tasks effectively and efficiently
  • Exceptional prioritization and project management skills
  • Keen attention to detail
  • Properly prioritizes tasks within their day and manages time wisely where deadlines are consistently met
  • Ability to work independently and with little supervision
  • Be able to identify best practices and conceptualize process improvements
  • Responds well in a dynamic and fast paced environment
  •  

This role will require a strong familiarity with MS Excel 2016, and candidates will be tested prior to interviewing with the hiring manager.
