The position supports the administrative manager and administrative associate by assisting all vendors that provide building services and activities in safety, physical plant, and compliance. The position will assist manager of administration in contract bids, research in product technology issues and potential vendors.
JOB DUTIES AND RESPONSIBILITIES:
? Match all invoices received against the original order, verify totals, and reconcile any discrepancies in quantity or price.
? Communicates and works with various vendors that provide: Shop Uniforms, Company shirts, Business Cards, Forklift maintenance, cleaning services, building alarm/security, product delivery transportation, and shop radios Match all invoices received against the original order, verify totals, and reconcile any discrepancies in quantity or price.
? Review invoices and have necessary lines added or PO# issued for signature approval of Manager of Administration
? Project support; resourcing materials; communicating with vendor teams and update PERT chart on project status.
? Coordinate special material deliveries and construction Blue print changes and city permit filings.
? Preparation of project documents; including purchase orders, excel documents and work proposals for review by manager
? Initiate formatted vendor contracts for new vendors, change orders, pay applications, lien waivers.
? Sustain all Building initiative support documents related to sub-contractor contract documents, affidavits, change work orders, payment applications, and lien waivers.
? Obtains all receivers and delivery receipts for manager approval
? Maintains construction work log as far as when sub projects are started and finished.
? Reports daily on work progress and discrepancies that may delay planned completion schedule.
? Updates projected budget versus actual expenses weekly; explains variances at manager request.
? Print our New Hire kits for prospective employees.
? May perform other duties assigned by Administrative or HR Manager.
? Maintains safety records and accident reports.
? Liaison with emergency care given for injured employees.
